We collect the information you give us and information we receive from the organisation you represent, documents and evidence submitted for assessment, relevant public registers and service providers used to deliver our services.
We use personal information to set up and manage our relationship with you and your organisation, carry out Financial Integrity Mark assessments, reviews and quality assurance, administer awards and verification records, provide training or membership services where applicable, maintain our records, protect the integrity of our services and comply with legal, regulatory, insurance and professional obligations.
Assessment evidence may include governance documents, financial records, meeting papers, policies, procedures, approval records and other supporting documents. These may contain personal information about trustees, councillors, directors, officers, employees, volunteers or authorised signatories. Organisations should avoid providing personal information that is not needed for the assessment.
Your information is stored on the systems we use to provide our services, including cloud-based systems and secure assessment, email, file-storage, website, workflow and payment services. Some providers may process information outside the United Kingdom. Where this happens, we use the safeguards required by UK data-protection law.
We may share information with service providers working on our behalf, independent assessors or quality-assurance reviewers, professional advisers, insurers, regulators, public authorities or others where required or permitted by law. We do not sell personal information.
Where an organisation holds the Financial Integrity Mark, we may publish limited information so that the award can be verified. This may include the organisation name, assessment pathway, award status, award date, review or renewal status, expiry date and verification reference. We do not publish confidential assessment evidence.
We normally keep raw assessment evidence for 3 years after the assessment outcome. Core engagement, assessment, quality-assurance, review and award records are normally kept for 6 years. We may keep relevant information for longer where reasonably necessary for an active complaint, review, legal claim, insurance matter, investigation, regulatory requirement or other lawful reason.
Under UK data-protection law, you may have rights to access your personal information, correct inaccurate information, request deletion or restriction in certain circumstances, object to some processing, request transfer of information where applicable and withdraw consent where processing is based on consent.
We do not make decisions about individuals based solely on automated processing where those decisions have legal or similarly significant effects.
